Understanding the Insurance Process for Orthotic & Prosthetic Care

Health Insurance Forms

When a patient needs a brace or prosthetic device, one of the most common questions is: How does insurance work? While every policy is different, understanding the general process can help reduce delays and set expectations.

At Westcoast Brace & Limb, our team works closely with patients, physicians, therapists, and caregivers to guide each case through the insurance process as smoothly as possible.

  • Step 1: Evaluation with a Practitioner

The process often begins with an appointment with one of our licensed orthotists or prosthetists. During this visit, we evaluate the patient’s needs, goals, condition, and mobility challenges to determine the most appropriate device.

  • Step 2: Prescription & Physician Documentation

      • Most insurance plans require:
      • A valid prescription for the device
      • Recent physician notes related to the condition
      • Documentation showing medical necessity
      • A treatment plan supporting the device recommendation

This documentation is required by insurance companies, not by Westcoast Brace & Limb.
  • Step 3: Authorization Submission

Once all required documentation is received, our team submits the case for insurance review and authorization when applicable.

  • Step 4: Fabrication or Ordering

After authorization is approved (if required), the device can be ordered or custom fabricated.

  • Step 5: Delivery & Follow-Up

Once ready, the patient returns for fitting, adjustments, education, and follow-up care.

Helpful Tip for Faster Processing

Patients should make sure they have had a recent visit with their physician related to the condition requiring treatment. Many plans require notes within the last six months.
